Submission of thesis

The candidate applies for the thesis to be evaluated - this can only be done after the required coursework has been approved.

When can a thesis be submitted for evaluation?

A written application for evaluation of a thesis can only be submitted after the required coursework has been approved. For candidates admitted after August 1st, 2020, compulsory coursework must be completed six months before submission.

The application for evaluation of a thesis should be sent to NIH, Department of Academic Affairs (STA).

A submitted thesis cannot be withdrawn before a final decision has been made whether it is worthy of a public defense.

Attachments to the application for evaluation

The following documents must be attached to the application:

  • confirmation - with documentation - that all required coursework has been approved. Documentation can be found atThe Diploma Registry.
  • statement regarding whether the doctoral thesis is being submitted for evaluation for the first or second time;
  • confirmation that the doctoral thesis has not been submitted for evaluation at another institution;
  • confirmation that the publishers have approved the use of the actual version of the articles;
  • if relevant - confirmation that the the doctoral project has been completed according to assessments/approval from Data protection services for research at Sikt (formerly known as Norwegian Centre for Research Data (NSD)), Regionale etiske komiteer for medisinsk og helsefaglig forskningsetikk (REK) and other relevant supervisory bodies;
  • declarations from co‐authors when this is required. See templates.

Most publishers have regulations for the use of articles published in their journals. Before a PhD thesis is submitted, one has to check what the publishers allow - and in some cases one have to obtain permission to use articles.

Elin Hecker at the library can assist in checking the publishers regulations. In order to this, she needs a list of the papers (author, title, journal, year) and information about which version you are using (submitted, accepted, final text version or the journal's .pdf version).

This should be done before the thesis is submitted (preferably one month prior), because it can take some time to get an answer from the publishers.

Language for trial lecture and defense

If the candidate wants the trial lecture to be in a different language than the thesis, the candidate must request this at the same time as the thesis is submitted.

If the evaluation committee wants the defense to be in a different language than the thesis, the committee must request this at the same time as their evaluation is submitted.

Routine for printing of thesis

When you submit your thesis (apply for evaluation), you send it as a PDF to the Department of Academic Affairs (STA) with a copy to the printing office. The printing office checks if the format of the thesis is okay, so that it can be printed later, before a potential defence. The assessment committee is sent the thesis as a PDF.

• File format: PDF

• Printing format: A4

Otherwise: No requirements for layout/typography. When the thesis is printed before the defence, it is bound with glue in the spine and a plastic cover.

Read more about printing and practical preparations before the defence.

New version of articles, errata and correction of formal mistakes

Later versions of articles than those submitted cannot be included.

The candidate may after submission request KFU to be allowed to correct formal mistakes in the thesis. The request must be accompanied by a complete list of all requested mistakes/corrections (errata). The request must be submitted at least four (4) weeks before the committee will submit their evaluation.

If the errata list is approved, it should be included in the final version of the thesis. The thesis must be publicly available at least two weeks before the defense.
